Danske Shoppingcentre automated property management and financial control in just three months

Introduction to the Project
Danske Shoppingcentre (DSC) owns and operates 17 malls across Denmark. In 2020, the group decided to bring commercial and operational tasks in-house. This led to extreme growth in the company, which expanded from 9 to about 300 employees. In the summer of 2022, the company decided to insource additional tasks – this time in finance and property management.
Therefore, solutions were needed to streamline the new internal processes. Automation was predetermined as part of the solution. However, it was also important for DSC to find a partner who understood that the organization wanted a calm but continuous transition to automation.
The Challenge
In the summer of 2022, DSC decided to insource a number of tasks within finance and property management. Until then, these had been outsourced to external partners. The decision was made in the wake of a two-year successful process of insourcing essential tasks related to the operation of the company’s 17 malls.
The organization’s former external partners used an administration/ERP system called Unik, which Danske Shoppingcentre wanted to continue using. However, the company had little knowledge of the system. Therefore, there was a huge task in figuring out how Unik could now be used internally and to the best advantage.
A myriad of invoices accompany the operation of so many malls. These must all be read, processed, and sorted correctly before being entered into Unik. For Danske Shoppingcentre, it was also necessary to find systems that could support Unik – including systems for automating key financial and administrative processes.
The organization had grown from 9 to about 300 employees over the past two years. The solutions that needed to be found had to, not only solve the tasks, but also ensure that work could be performed streamlined among the now many employees.
The Solution
Danske Shoppingcentre decided to explore the possibilities for automation. Here, Tungsten’s technologies for the same purpose are leading in the market. Tungsten forwarded the organization to ScanSolutions in December 2022, whose products are built on the sought-after technologies.
Today, DSC uses the products ScanInvoice TTA include Tungsten Invoice Portal and Scansolutions Digital Response portal for suppliers. This ensures that the organization handles both incoming and outgoing invoices in a streamlined manner. The technology behind it ensures, among other things, that all information on invoices is double-checked and sent to the correct mall the right way.
Due to the many changes in the organization over the last few years, Danske Shoppingcentre needed to stick with manual work but gradually automate more and more of the processes. Three months after startup, however, the organization was ready to begin automating the remaining processes.
